Volunteers

Below is a description of the various Cedar Fork PTA activities and the committees that organize them.  If you have any questions, please contact PTA President Daphne Stam at stamfam@earthlink.net and/or click on the "My Calendar" link on the left sidebar menu for upcoming volunteer opportunities.

Reflections Committee

The Reflections Committee presents the National PTA's Reflection program opportunity to students at Cedar Fork.  This is an arts recognition and achievement contest which encourages entries from students in the following categories:

  • Visual Arts
  • Photography
  • Literature
  • Dance/Choreography
  • Film/Video Production
  • Music Composition

Students compete within either the K-2 or 3-5 age groups and submit their entries to the school.  This program challenges students to create their art around a specific theme which changes each year.  The theme for 09-10 is "Beauty is..."  There is no limit to the number of entries an individual student may submit.

The committee is responsible to educate students, parents and teachers about the program, publicize the program, ensure that students know how to properly prepare entries and forms, collect entries, locate qualified judges, host a judging day, and organize entries that will be submitted to the council level.

The majority of activity for this committee will take place at the beginning of the school year, mainly in September and October.  Join Reflections and help the students of Cedar Fork showcase their artistic abilities!

Appreciation and Hospitality

Appreciation and Hospitality volunteers work closely with the Cultural Arts VPs to organize events to show appreciation to the staff throughout the school year using a budget identified for these activities.  This will include the following:  luncheon at the beginning of the year, something around the holidays, and activities surrounding Staff appreciation week in May.  It may also include something small for teacher birthdays and possibly a treat on a monthly basis if it fits in the budget.  Refreshments for school guests (including Author visit) may also fall into under this committee.  This committee will work on things on and off throughout the year.

Book Fair

Book Fair volunteers work closely with Mrs. Marie and the Chairperson to organize a book fair.  The volunteers will help setup and staff the week long book fair to assist students in reviewing and purchasing books.  We will need an additional number of volunteers to assist in the Book Fair family night which coincides with Math Fun Night.  The Chairperson will be responsible for ensuring we have enough volunteers for each night and during the day.  This is a one time event which will take place in the fall before Christmas break.

Dine Out Night

Dine Out Night is a community-building, fun way to raise funds for our PTA. Through the year, volunteers work with the VP of Fundraising to make arrangements with local eating establishments to host the Stingrays. Families gather for dinner at these restaurants and our PTA gets a percentage of the profits from the evening. This program gives us an opportunity to see our Stingrays with their families in a setting outside of school, and it provides us funds for PTA programs at the same time!

Fall Fundraiser

The Fall Fundraiser serves as the major fundraiser for Cedar Fork at the beginning of the school year.  Volunteers will be responsible for working closely with the VP of Fundraising to help prepare fundraiser packets for each student and place them in each teacher’s mailbox for distribution.  They will also help coordinate the collection of order forms from students, advertising and generating interest in the program, and organizing the distribution of ordered items.  Chairperson will organize volunteers to assist as needed with order pick-ups and collections, etc.  This is a one time event in the Fall which starts soon after school begins.

Field Day

Field Day volunteers work closely with our Physical Education Specialists to plan activities for the Field Day Events. They will work with the PE Specialist to recruit organize and recruit volunteers for this day.  This event takes place in the spring and needs 1 chairperson and an unlimited number of committee members.  This committee will also help with the 5th grade field day at the end of the school year.

Membership

The Membership committee oversees the PTA membership sales.  It coordinates the recruitment of PTA members in the fall and maintains records of membership throughout the year, including updating the NC PTA database with member information.  During the first few weeks of the new school year they are responsible for distributing and collecting membership envelopes from the classrooms.  This includes distributing incentive items that the member has chosen.  Membership tables will be set up during meet the teacher night and open house in the first month of school.  Work on this committee is ongoing, with the bulk of the work done in the first month of school.

Picture Day

Picture Day volunteers assist photographers during the fall and spring picture days.  The coordinator will schedule volunteer time slots and volunteers will assist in directing the students to the photography area and helping the children look their best for their picture taking session.

Spirit Wear

The Spiritwear committee sells Cedar Fork t-shirts and sweatshirts, etc.  Spiritwear will be sold on Meet the Teacher Night, Open House and through order forms included in the child’s folder.  The committee will be responsible for distributing and collecting order forms and distributing the spiritwear after in comes in.  Spiritwear is usually ordered once or twice a year.

Spring Fundraiser

The Spring Fundraiser committee will work closely with the VP of Fundraising to choose a Spring Fundraiser if necessary.  Some ideas would be selling pizza kits or having a Spring Carnival.  The committee will be responsible for selecting a fundraiser and then advertising it.  They will distribute and collect any necessary forms and product related to the fundraiser.  If volunteers are needed they will provide a schedule and send out reminders of their scheduled commitment.  This committee will get together during the spring.

Yearbook

The Yearbook Committee will assist with the yearbook sales, including distributing and collecting order forms, distributing yearbooks and assisting with the layout if necessary.  They should also work with room parents to get candid pictures of each classroom.  The work done on this committee is primarily during the spring.
